Policies
The terms that apply when you order testing from Tall Pine Research, and how we handle your samples and information.
Last updated October 27, 2026.
Testing terms and conditions
These terms apply to every order you place with Tall Pine Research (“we”, “us”), whether from the test menu or from a quote. By placing an order you accept them. If a quote we issued to you says something different, the quote applies for the items on it. We may update these terms; the version published on the date you order is the one that applies to that order.
Prices and payment
Prices are in US dollars and are shown on the test menu or on your quote. We invoice you when you order. Payment is due in full before testing begins. Any applicable taxes are added to your invoice. A quote is valid until the date shown on it; some quotes can be used once only, or only by the email address or organization they were issued to.
Turnaround
Average turnaround is 14 to 31 days from the day we receive your sample and payment. Turnaround is an estimate, not a guarantee. It can be longer if a sample arrives without the information we need, has to be retested, or needs work by a partner laboratory.
What we do
We perform the tests you ordered with reasonable care, using documented methods, and we report what we find. We make no other warranty, express or implied, about our testing or its fitness for any purpose. Some testing may be performed by qualified partner laboratories; we review and verify partner results, and we sign off every certificate of analysis.
Certificates of analysis
- A certificate of analysis (COA) gives the results for the tests you ordered, with the chromatogram and spectra behind them.
- Results relate only to the samples tested, as received. They do not describe any other batch, lot or material.
- A COA is a test report. It is not a certification, approval or endorsement of any product, and it is not regulatory, medical, veterinary or legal advice. Do not rely on a COA alone to decide whether anything is safe or suitable for human or animal use.
- Tall Pine Research is not accredited to ISO/IEC 17025 or by any accreditation body, and our COAs carry no accreditation mark.
- If we find an error in a COA we have issued, we will issue a corrected COA and tell you.
- You may share a COA we issued to you, in full and unaltered. You may not alter a COA, present part of it as the whole, or use our name or results to suggest that we endorse a product.
Your responsibilities
You are responsible for your samples: that you may lawfully possess and ship them, that they are packaged safely and labeled correctly, and that what you tell us about them (identity, hazards, amount) is accurate. If a sample is not what you declared, or carries a hazard you did not declare, you will cover any loss, cost or claim that causes us, including harm to our people, equipment or facilities.
Refusing or stopping work
We may decline an order, or stop work on one, if a sample is unsafe, unlawful or not as described, if we cannot perform the test reliably, or if payment has not been made. If we stop work for one of these reasons, we may charge for work done to date and refund the rest.
Cancellations
You may cancel an order by email. If we have not yet received your samples, we refund what you paid. If testing has started, we may charge for work done to date, including partner laboratory charges we have already incurred, and refund the rest.
Problems with a result
If you believe a result is wrong, please tell us within 30 days of the COA date, with your order number and the reason. We look into every concern and reply in writing. Where we agree a result is wrong, we correct the COA at no charge. Questions and complaints go to info@tallpineresearch.com.
Confidentiality
Your samples, results, uploaded files and order details are confidential. We share them only with you, with people you ask us to share them with, with partner laboratories as needed to perform the testing, or when the law requires it.
Limitation of liability
Our total liability for an order, whatever the cause, is limited to the fees you paid for the tests concerned. We are not liable for indirect, incidental or consequential losses, including lost profits, lost product or the cost of recalls, arising from our testing or from any use of a COA.
Events beyond our control
We are not responsible for delay or failure caused by events outside our reasonable control, such as carrier delays, supply or instrument failures, utility outages, severe weather or government action. We will tell you and finish the work as soon as we reasonably can.
Governing law
These terms are governed by the laws of the State of Texas.
Sample acceptance
- Label every container with the sample ID you entered when you ordered, and include the printed sample submission form.
- Send at least the amount of sample listed for each test, or the amount we confirmed with you.
- Ship to the address we send with your quote or invoice. Samples are received Monday to Friday, 8 a.m. to 5 p.m. Central. You pay for shipping to us, and samples are your responsibility until we receive them.
- If a sample arrives damaged, unlabeled, in too small an amount, or not matching your order, we contact you before testing and agree what to do.
We do not accept controlled substances, infectious or potentially infectious material, human or animal clinical specimens, radioactive material, explosives, or samples whose hazards are unknown. Declare every known hazard and include a safety data sheet where one exists. We may refuse, return or safely dispose of any sample we cannot handle safely.
Leftover samples
After testing, leftover sample is destroyed, or returned to you at your expense if you ask for it when you order. We invoice return shipping before we ship.
Privacy
- What we collect: the contact, organization and sample details you give us when you order or contact us; files you upload with a custom quote (such as PDFs, spreadsheets, data files, images or ZIP archives); and your order and invoice records.
- Why: to perform and report the testing you ordered, to contact you about your order, and to keep the business and tax records we are required to keep.
- Who sees it: our staff, partner laboratories where they perform your testing, and the service providers that run this site: Cloudflare (hosting, file storage and spam protection) and Resend (email). We do not sell your information.
- Cookies and tracking: this site uses no advertising or analytics trackers. Your cart is kept in your own browser. A few cookies are needed for the site to work: to open a private quote page, to attach uploaded files to your order, and to check that a form was sent by a person.
- How long: we keep order records, uploaded files and COAs for as long as we need them for business, legal and tax purposes.
- Your requests: to see, correct or delete the information we hold about you, email info@tallpineresearch.com. We may need to keep records the law requires us to keep.
