The raw record is evidence

A useful notebook lets another person reconstruct what was intended, what happened, and what was observed. Start with date, operator, project or question, method identifier and version, equipment IDs, material or sample IDs, conditions, and the planned unit of analysis. Record observations when they occur, including zeros, unexpected results, and failed checks. For electronic records, use an approved system with access control and an audit trail; a spreadsheet copied between folders can lose context and history.

A label is a small record, not decoration. It should link the physical item to the notebook through a unique ID and show enough status to prevent mix-up: material or sample identity, condition or group, date or time when relevant, and owner or project. Do not put an ambiguous “date” field on a critical item; state collected, prepared, opened, expiry, or other intended date type. Labels must remain legible under the actual storage and handling conditions.

Before opening the notebook, sketch the bench flow from the readiness lesson: clean supplies, active sample, records, and waste. Record the sample map before transfers, and keep the map linked to the unit identifiers. That small layout decision helps prevent the confounder and contamination routes you identified during planning from being confused with a sample effect.

  • Attributable: who made the entry and when.
  • Contemporaneous: recorded at or near the activity, not reconstructed from memory.
  • Original: the first permanent record or a controlled copy with provenance.
  • Accurate and complete: preserve raw values, units, corrections, anomalies, and context.
  • Traceable: every derived result links back to source observations and method version.

Correct without erasing

If a paper entry is wrong, draw a single line so the original remains readable, enter the correction, and add initials, date, and reason when needed. Do not use correction fluid or overwrite. In a digital record, use the approved correction or audit-trail process. A method version identifies the instructions in force; if the method changes, do not silently merge old and new results. Record the version used for each unit and explain a deviation before interpreting its effect.

  • Lock or sign completed raw records according to the local procedure.
  • Keep calculation formulas and units visible; store derived values with their source data.
  • Preserve failed runs and superseded versions with a reason for replacement.
  • Use representative practice data only when clearly labeled; it is not Tall Pine experimental evidence.

Worked example

The following is a model structure, not experimental evidence.

  1. 012026-09-18 09:10; operator: initials; question: compare repeatability of vessels A/B; method M-001 v2.
  2. 02Planned samples: A-01, A-02, B-01, B-02; water, room temperature; graduated vessels GC-A and GC-B; this excerpt contains only the A observations.
  3. 03A-01: 10.0 mL, water meniscus read at eye level; A-02: missing—vessel tipped before reading, trial documented as lost.
  4. 04Correction: original 10.2 crossed once; 10.0 entered, initials/date added; reason: transcription error identified immediately from the original observation. Do not invent a replacement when the true reading cannot be recovered.

    Open the record

    Enter date, question, operator, method/version, equipment, sample map, conditions, and planned outcomes before handling material.

    Record in real time

    Write IDs, raw readings with units, observations, deviations, and checks as they occur. Do not replace missing values with guesses.

  3. 03

    Close and review

    Reconcile labels to the sample map, inspect calculations, sign or lock the record, and link any correction or method change.

Common mistakes

Correct the process, preserve the record.

Writing results on a loose scrap and transcribing later.

Use the controlled raw record at the time of observation; if a temporary record is necessary, preserve and link it.

Replacing an unreadable or missing value with an estimate.

Mark it missing or uncertain, document the reason, and follow the preplanned handling rule.

Changing a method without changing its version.

Create a version or deviation record so results can be grouped by the instructions actually used.
