Create a record that another person can reconstruct without erasing the original observations or method context.
Objective
A useful notebook lets another person reconstruct what was intended, what happened, and what was observed. Start with date, operator, project or question, method identifier and version, equipment IDs, material or sample IDs, conditions, and the planned unit of analysis. Record observations when they occur, including zeros, unexpected results, and failed checks. For electronic records, use an approved system with access control and an audit trail; a spreadsheet copied between folders can lose context and history.
A label is a small record, not decoration. It should link the physical item to the notebook through a unique ID and show enough status to prevent mix-up: material or sample identity, condition or group, date or time when relevant, and owner or project. Do not put an ambiguous “date” field on a critical item; state collected, prepared, opened, expiry, or other intended date type. Labels must remain legible under the actual storage and handling conditions.
Before opening the notebook, sketch the bench flow from the readiness lesson: clean supplies, active sample, records, and waste. Record the sample map before transfers, and keep the map linked to the unit identifiers. That small layout decision helps prevent the confounder and contamination routes you identified during planning from being confused with a sample effect.
If a paper entry is wrong, draw a single line so the original remains readable, enter the correction, and add initials, date, and reason when needed. Do not use correction fluid or overwrite. In a digital record, use the approved correction or audit-trail process. A method version identifies the instructions in force; if the method changes, do not silently merge old and new results. Record the version used for each unit and explain a deviation before interpreting its effect.
